24-Hour Emergency Service:

This service is available 24/7/365. Our emergency paging service number is currently 087 982 2121. This number should be used in cases of common area emergencies ONLY and should not be used for routine calls.  Security alarm activation in individual apartments is the owner’s responsibility.  The emergency service is for emergencies in the internal and external common areas only.

Our emergency service is available in the event of major:

  • Water leaks
  • Water pump faults
  • Electrical faults to lighting/essential services
  • Glass repairs – e.g. front door damage
  • Security hazards
  • Gate control system faults
  • Fire alarm system faults
  • Storm damage and flooding

Company Secretarial Service:

The Company Secretarial function is to oversee the management company’s day to day regulatory administration and to ensure observance and compliance with all statutory and company law in accordance with the instructions of the directors.

The principal administration duties carried out by the Company Secretary are:

  • Keeping the company’s minutes of board, committee and general meetings.
  • Keeping and making available for inspection the company’s register of members.
  • Ensuring that the company’s annual and other returns are filed with the Register of Companies within the prescribed time limits.
  • Communicating with the company’s members e.g. notifying the members of meetings of the company, details of the agenda and proposed resolutions to be considered at meetings, and circulating members with copies of the annual financial statements.
  • Administering membership transfers.
  • Providing directors with administrative support.
  • Custody of the company seal.
  • Arranging of registered office.

Health & Safety Management:

It is a legal requirement for all owners’ management companies to have an up to date health & safety statement. We at Petra are very proactive at hazard identification and minimisation/elimination of risk in each development we manage.

We check that all contractors engaged to carry out common area work have all necessary health and safety documents including their own health and safety statement.

Project Management:

Occasionally, the management company is required to carry out projects that go well beyond the scope of day-to-day maintenance/support. This could include (but is not limited to) major building refurbishments or severe damage caused by adverse weather. In this regard, Petra Management offers project management, supervisory, and/or consultancy services. Rates are agreed with the board prior to the provision of these services.

Client Website:

Petra offers to all management companies a website unique to their development. Property owners can log in and access information relevant to their development, including newsletters, property management reports, audited accounts, budgets and more. This has proven to be very successful in reducing printing, postage & stationary expenses. A sample website can be provided on request.
